The document checklist for studying abroad from Bangladesh

Applications are rarely lost on merit. They are lost on a name spelled two ways, an unattested transcript, or money that arrived in the account a week too late.


Document checklist for studying abroad from Bangladesh

Applications are rarely lost on academic merit. They are lost on paperwork. A transcript nobody attested. A bank statement that cannot be explained. A name spelled one way on a passport, another way on an HSC certificate, and a third way on the form.

What follows is the checklist in the order the process asks for things, not the order a brochure lists them.

Your name must be spelled identically on your passport, your certificates, your bank documents and your application. Bangladeshi certificates frequently differ from passports on middle names, spellings and title case. Fix it early. An affidavit later costs weeks.

That one requirement causes more delay in Bangladeshi applications than anything else on this page. Md. and Mohammad are not the same string to a computer. Neither are Chowdhury and Choudhury, or a passport carrying a middle name your SSC certificate never had. Lay every document side by side tonight and read the name on each one out loud. If they disagree, fix it while you still have months, not the week before a visa appointment.

Stage 1: core academic documents

Keep originals; submit certified copies

  • SSC and HSC certificates and marksheets (or O/A-Level statements of results)
  • Bachelor’s certificate, transcript and, where issued, provisional certificate
  • Master’s documents if applicable
  • Medium of Instruction certificate, useful where a university accepts it in place of an English test
  • Character certificate from your last institution

For university applications, scanned colour copies are usually enough. Attestation becomes necessary for visas, credential evaluation and professional registration, so start on it early instead of discovering the requirement at the end.

Chase two of these before you need them. The provisional certificate, because departments issue it on their own schedule rather than yours. And the Medium of Instruction certificate, because one visit to your institution can save you an English test at universities that accept it. Not all do, so confirm before building a plan around it. If a test turns out to be unavoidable, start with choosing between IELTS, PTE, TOEFL and Duolingo in Bangladesh.

Stage 2: attestation, when it is required

Where a destination or a regulator requires attested documents, the usual chain for Bangladeshi certificates runs through the issuing board or university, then the Ministry of Education, then the Ministry of Foreign Affairs, and finally the destination country’s embassy if they require legalisation.

Every step in that chain is a separate queue, a separate counter and a separate day off. Nobody finishes it in an afternoon, and the ministry does not care that your intake is close.

Two practical points.

  • Not every application needs attestation. Ask the specific university and the specific visa route what they require before you spend weeks on it. Students burn entire months attesting documents that the university would have accepted as plain colour scans.
  • It takes longer than anyone tells you. If it is required, begin the moment you have your final certificate in hand.

Plan it backwards from the intake, not forwards from today. If you are aiming at a particular start date, the attestation chain has to finish before the visa application, which has to finish before the deadline, which is earlier than the date printed on the university page. How far ahead that really puts you is worked through in choosing between the September and January intake.

Stage 3: English and test documents

  • Test report form, in the exact version the course and visa require
  • Ensure the name and passport number on the test result match your passport exactly
  • Check the validity window against your intake date

The version point catches people out. Some courses and some visa routes accept one form of a test and not another, and a result that satisfies the university is not automatically the one the visa route wants. Confirm both before you book.

The validity window catches even more people out. A result that expires two weeks before your intake starts is worth nothing to you, however good the score was. Check the expiry date against the date you would enrol, and if you are deferring to a later intake, check it again.

Stage 4: financial documents

This is where most refusals originate, and almost never because the amount was too small.

What assessors look for

  • The holding period. Several destinations require funds to sit in the account for a set number of days before you apply. Money that arrives the week of submission does not count, whatever the balance.
  • A traceable source. Large deposits appearing shortly before an application invite questions. Be able to explain where the money came from: salary, business income, property sale, a documented loan.
  • The sponsor relationship. If a relative is sponsoring you, expect to evidence the relationship and their income.
  • Consistency. The figures in your bank certificate, statement and application must agree.

The holding period is not a wealth test. It asks whether the money is actually yours to spend on a degree, or whether it appeared for a week because relatives pooled it and will be gone by the time you land. An account that has held the amount steadily for the required period tells its own story. One that jumped from almost nothing to the exact required figure tells a different one.

The traceable-source rule follows from that. A single large deposit shortly before the application is the item an assessor will ask about, and “my uncle sent it” only begins the explanation. If your uncle sent it, you want his relationship documented, his income evidenced, and a clean trail from his account to yours. Sponsorship from family is completely normal in Bangladesh and no assessor is surprised by it. What sinks applications is sponsorship that cannot be shown on paper.

Start the bank paperwork earlier than feels necessary. Branch staff have their own process for issuing a bank certificate, statements have to cover the right span, and the numbers on all of it must match what you write on the form. Never let anyone “arrange” financial documents for you. Fabricated bank statements, inflated income certificates and manufactured experience letters end applications permanently and, in several countries, carry a multi-year re-entry ban. The agent faces nothing; you carry it for years.

Somebody will offer. It is presented as a small favour, a way of fixing a gap, and it costs a fee. The person offering will still be at that desk next year, taking the next family’s money, while a refusal and a ban follow your passport around. If an agency raises this at any point, that is the end of the relationship, not a negotiation. Stage 5: supporting documents

  • Passport valid well beyond your intended stay, with clear scans of every used page
  • Passport-size photographs to the destination’s exact specification
  • Statement of purpose or study plan, written by you
  • Recommendation letters on institutional letterhead with verifiable contact details
  • CV for postgraduate applications
  • Experience letters where you claim work experience
  • Birth certificate and NID
  • Medical examination and TB test certificate where required
  • Police clearance certificate where required

Read “written by you” as a hard requirement, not advice. A statement of purpose somebody else wrote is a document you cannot defend, and the defending happens in a room where an officer asks why you chose that course. Recommendation letters carry the same risk from the other side: those contact details exist to be used, so they must be real, current and attached to somebody who remembers writing the letter.

Photograph specifications differ by destination and are refused on details that feel absurd, so get them made to the exact spec rather than reusing the set from your last passport renewal.

Build one folder, once

  1. Create a folder with subfolders per stage above.
  2. Scan every document in colour at 300 dpi, as PDF, named clearly: Surname_HSC_Transcript.pdf.
  3. Keep a single spreadsheet: document, date obtained, expiry, where the original is.
  4. Back it up to cloud storage and one physical drive.
  5. Never post originals. Carry them; submit copies.

The naming convention is not fussiness. Admissions offices receive files from thousands of applicants and a PDF called IMG_20260814_003.pdf is a file that gets set aside. So is a phone photograph of a certificate taken at an angle on a bedsheet, with a shadow across the grade column.

The spreadsheet earns its place around the third application, when you can no longer remember when the police clearance was collected or whether the medical is still valid. Keep the expiry column even for documents that feel permanent.

Students who build this once apply to eight universities in the time it takes others to apply to two. The folder is also what makes a day at an education fair in Bangladesh productive: turn up with it and a representative can assess you at the stall, rather than asking you to email everything later and hoping you do.

Frequently asked questions

Why does my name have to match exactly across all my documents?
